Using Recording Mode (In-Person vs Telehealth)

Chartnote’s AI Scribe supports two recording modes so you can capture high-quality audio whether you’re seeing patients in the office or meeting remotely over telehealth.


What is Recording Mode?


Recording Mode controls how Chartnote captures audio:

  • In-Person / Dictation → Uses your microphone only

  • Telehealth Visit → Captures audio from telehealth apps (Zoom, Teams, Doximity, Google Meet, etc.

Choosing the correct mode helps Chartnote generate a more accurate note and prevents missing audio.




Recording Mode Options


1) In-Person / Dictation


Use this mode when:

  • You are seeing the patient in the clinic or hospital

  • You are rounding or documenting at bedside

  • You are dictating a note (even without a live patient)

  • You are using a room microphone or headset


How it works:

Chartnote records audio directly from your selected microphone. Only what your microphone hears will be captured.


2) Telehealth Visit


Use this mode when:

  • You are meeting with a patient remotely

  • The visit is happening in Zoom, Microsoft Teams, Doximity Dialer, Google Meet, or similar platforms

  • Audio is coming through your computer speakers or headset


How it works:

Chartnote captures audio from your computer during the call so it can hear both you and the patient.


Telehealth: Web-Based Apps vs Desktop Apps


When you select Telehealth Visit, Chartnote will prompt you to share audio. The correct option depends on how your telehealth visit is running.


Option A — Web-Based Apps (Google Meet, Doximity in Chrome, etc.)


Use this option if the visit is running inside your browser.


Examples:

  • Google Meet (in Chrome)

  • Doximity Dialer (in Chrome)

  • Any telehealth platform running in a Chrome tab


Steps:

  1. In the sharing prompt, select Chrome Tab

  2. Select the browser tab where your visit is open

  3. Turn on “Share tab audio”

  4. Click Share




Important notes:

  • Only the selected tab’s audio will be captured

  • If you switch tabs during the visit, audio may stop recording

  • For best results, keep the telehealth tab active during the visit


Option B — Desktop Apps (Zoom app or Microsoft Teams app)


Use this option if Zoom or Teams is running as a desktop application.


Examples:

  • Zoom desktop app

  • Microsoft Teams desktop app


Steps:

  1. In the sharing prompt, select Entire Screen

  2. Select the screen that contains your Zoom or Teams window

  3. Turn on “Share system audio”

  4. Click Share




Important notes:

  • If system audio is not enabled, the patient’s voice will not be captured

  • If you have multiple monitors, select the monitor where the call is happening


How to Choose the Right Mode


Before you start recording:

  1. Open My AI Scribe

  2. Locate Recording Mode

  3. Select:

    • In-Person / Dictation for in-office or bedside visits

    • Telehealth Visit for remote visits


Always confirm the correct mode before clicking Start Recording.


Troubleshooting Tips


Patient audio is missing


Most commonly, this happens when:

  • In-Person / Dictation was selected during a telehealth visit

  • Audio sharing was not enabled during screen/tab sharing


Fix:

  • Stop recording

  • Switch to Telehealth Visit

  • Re-share using Chrome Tab or Entire Screen

  • Confirm audio sharing is enabled


No audio is captured at all


Check:

  • Your microphone selection (In-Person mode)

  • Your browser permissions (Chrome microphone access)

  • That the telehealth tab/screen is still being shared (Telehealth mode)


I’m using Zoom or Teams, but I don’t see “Share system audio”


This usually means:

  • You selected the wrong sharing option

  • You are sharing a window instead of the entire screen


Fix:

  • Stop sharing

  • Choose Entire Screen

  • Look for the audio toggle and enable it


I’m using Google Meet or Doximity, but audio still isn’t captured


Most commonly:

  • The wrong Chrome tab was selected

  • “Share tab audio” was not enabled


Fix:

  • Stop sharing

  • Choose Chrome Tab

  • Select the correct tab and enable Share tab audio


Best Practices (Recommended)


For the most accurate notes:

  • Use a headset or a good quality microphone

  • Reduce background noise when possible

  • Confirm Recording Mode before starting each visit

  • For telehealth visits, avoid switching tabs or moving the call to another screen mid-visit


Using the correct recording mode ensures complete capture of the conversation and helps Chartnote generate the most accurate, structured note possible.
